The Role
We're looking for an Office Manager who will become the operational backbone of our clinic.
This isn't a "just answer the phones" position. You'll own the day-to-day operations: scheduling, billing, patient communication, reporting, and systems, so our founders can focus on growth instead of daily fires. You'll be the person who makes the clinic run like clockwork, whether the founders are in the building or not.
More than that, we're looking for someone who wants to help us build this thing. Performx is at an exciting inflection point. The right person in this role won't just maintain systems. They'll improve them, take initiative, and grow with us as we scale.

What You'll Own
Operations & Scheduling
- Manage all clinic scheduling across clinicians. Fill gaps, reduce no-shows, optimize utilization
- Handle reschedules and cancellations with care and efficiency
- Keep the schedule running at 90%+ clinician utilization
Billing & Admin
- Process superbills and patient billing weekly with zero errors
- Track plans of care and ensure nothing falls through the cracks
- Maintain accurate records in JaneApp
Patient Communication
- Be the first point of contact for prospective patients via phone and email
- Conduct discovery calls and convert leads into scheduled evaluations (target: 70%+ conversion)
- Communicate warmly. Never robotic, always human, not templated
Systems & Reporting
- Deliver a weekly Monday report covering key clinic metrics
- Learn and master JaneApp, HubSpot, Notion, and the AI tools we use daily
- Identify inefficiencies and improve processes over time
Clinic Support
- Manage supplies, logistics, and day-to-day clinic needs
- Support the team in whatever way keeps things running smoothly

What Success Looks Like
By Day 30: You're navigating JaneApp and HubSpot confidently, handling routine tasks with minimal oversight, and communicating in the Performx tone.
By Day 60: You own scheduling and billing fully. The founders aren't thinking about those things anymore. You're anticipating needs, not just responding to them.
By Day 90: You pass the "Founder-Free Week" test, running the clinic for a full week with zero founder intervention. The clinic operates at full capacity because of you.
By Year 1: You've become the operational backbone of Performx. You've built trust with every patient, improved the systems that run the clinic, and freed the founders to focus on growth. You've proven that Performx can scale because the foundation is solid.

VIRTUAL PHYSICAL THERAPIST

Globally, we're the leading injury resource for BJJ athletes. Most of our virtual clients find us through our sister company, Grapplers Performance, and come to us because they want to stay on the mats, recover smarter, and perform better.
The Opportunity
Get the opportunity to treat BJJ, grappling, and MMA athletes around the globe from your own home.
This is a part-time position that can build to full-time if desired. You'll have a flexible schedule you build yourself, with a full caseload of 28 to 30 patient hours per week. Full-time team members are eligible for our complete benefit package, including health insurance, unlimited PTO, and more.
